Training workshop on using AI tools in admissions and communication

NTTU – On February 26th, the Information Administration Department, in collaboration with the Communications Department, successfully organized the first 2025 training program with the theme “Using AI Tools in Admissions and Communication.”

The program aims to support personnel working at various departments within the university in utilizing and enhancing the effectiveness of smart technology in their work, learning, teaching, scientific research, admissions, and marketing/communication activities.

The training session was chaired by Assoc. Prof. Dr. Nguyễn Lan Phương – Vice President of the university, along with Mr. Bùi Quang Trung – Head of the Communications Department, Mr. Trần Bình Hậu – Head of the Information Administration Department, and Mr. Nguyễn Thành Lâm – Team Leader of the Information Administration Department’s Operations Team.

In his opening speech at the training session, Mr. Bùi Quang Trung emphasized the importance and exceptional effectiveness of AI in modern life. He highlighted that the application of artificial intelligence in work in general, and in research and teaching in particular, is a global trend in the ongoing development of the world.

The era of continuous technological development requires all institutions, not just businesses, but also educational establishments, to make efforts to keep up with trends and effectively apply technology in teaching and scientific research, ensuring the fulfillment of requirements for innovation and improving the quality of education. Today’s training session will help faculty members gain more useful knowledge and skills on using AI to support their work, research, and teaching. Mr. Trung hopes that the participants will actively engage in discussions, share ideas, and enhance their activities so they can effectively practice and apply this smart technology.

During the program, Mr. Nguyễn Thành Lâm updated information on topics related to artificial intelligence, the importance of AI in the 4.0 technology era, how to create prompts in ChatGPT, how to use AI tools to convert text to audio, AI for text summarization, image creation, and content generation based on the AIDA model, among other ways to improve automation in management and communication.

Mr. Lâm also emphasized that AI helps optimize the effectiveness of communication, enabling the accuracy and speed necessary for each specific target group. AI is not just a tool to assist in automating administrative tasks such as scheduling or data management; it also has the ability to optimize the performance of communication channels, both internally and externally, ensuring that information is transmitted accurately, quickly, and appropriately to each target audience. The presentation also addressed the risks and ethical considerations of using AI, such as data security, academic integrity, and how to maintain a balance between technology and human emotions during interactions.

As part of the program, Mr. Bùi Quang Trung also provided a detailed guide on how to use AI tools, particularly the Vbee tool, to automate the article writing process, assist in creating content for the website, and support communication and marketing efforts.

Trung shared that today’s youth tend to listen more than read, so using AI to create audio content is a suitable solution. Voice-over lectures will help students access information more easily compared to reading long articles. Vbee AIVoice will be a useful tool as it can convert text into speech using artificial voice technology. It is part of the Vbee AI ecosystem, developed alongside other products such as “AICall” and “SmartDialog.”

Not only acquires the theory, participants were also guided in practical exercises on how to create effective content, design slides, generate images, video clips, voice-over audios, and more using tools like ChatGPT, Gemini, Copilot, Claude, and Vbee. These skills not only help save time in work processes but also open up more creative approaches in teaching and research.

The training session concluded with many useful insights into the application of artificial intelligence, which can help participants improve work efficiency, optimize communication campaigns, and enhance support services for students and lecturers.

The subsequent sessions of the 2025 AI tools training will continue to be organized by Nguyen Tat Thanh University in the near future. Specific information will be communicated to all staff and lecturers soon, ensuring that everyone has the opportunity to access and apply AI technology in the most effective way.
